Job Type: 

  • Full-time: 32 hour, 4 day work week at $40,000-$45,000 OR 
  • Part-time: 15-25 hours per week possible for the right candidate at $20-$27 per hour
  • Location: On-site in Acton, MA (on the West Concord, MA border) 
    • Occasional opportunities for hybrid/remote work options after 6 months

Organization Summary: 

Domestic Violence Services Network, Inc. (DVSN), a volunteer-centric  non-profit agency, provides victims of domestic abuse in surrounding communities with crisis  intervention, advocacy, risk assessment, safety planning, court accompaniment, support groups, and a multitude of other services in partnership with a wide array of social service agencies,  municipal departments, police departments, and Concord District Court. We support clients in  the decisions they make at the pace they can manage without judgment or expectation. All  services are free and confidential.  

Role Summary: 

This role is perfect for someone who has a high level of attention to detail,  is a creative problem-solver, and enjoys working in a collaborative environment. The  Executive Assistant works closely with the Executive Director, the Director of Technology &  Operations, and the Community Engagement & Philanthropy Specialist. With personal initiative,  skill-building, and resourcefulness, this role provides the opportunity to grow in financial  management, database management, development, and leadership skills.  

Primary Responsibilities: 

Financial Management: 

  • Track all financial transactions via QuickBooks 
  • Record and deposit checks and track online income promptly 
  • Pay bills and prepare reimbursement reports promptly 
  • Produce and regularly update all financial reports for the Finance Committee and  relevant grant requirements 
  • Maintain, prepare, and organize all materials for the annual financial audit ○ Maintain and track all professional insurance policies 

Employee Benefits Management: 

  • Maintain and manage employee benefit programs 
  • Track employee paid time off and collect timesheets biweekly

Grant, Donor, and Donation Management: 

  • Maintain databases of donors, grants, fundraising activities, and volunteers 
    • Track grant deadlines and timelines for deliverables 
  • Support annual budget development process 
  • Prepare acknowledgment letters for grants, donations, and other relevant  revenue sources 

Volunteer Coordination: 

  • Prepare and circulate volunteer trainee recruitment ads 
  • Prepare volunteer training packets 
  • Organize, track, and support all aspects of the volunteer training process ● Marketing & Event Planning Support: 
  • Help organize events such as presentations, workshops, and outreach activities ○ Follow up with sponsors and coordinate with vendors as needed 
  • Help develop marketing materials and prepare press releases 
  • Share maintenance of website and social media postings 

Collaboration and Community Engagement: 

  • Collaborate with volunteers, staff, law enforcement partners, and community  agencies regarding client services and events as needed 
  • Participate in our Advocate Training to appropriately answer client calls and insure sensitive and confidential interactions with clients when needed

Requirements for the Role:  

  • Exceptional attention to detail is paramount to this role 
  • Proficiency with QuickBooks OR a willingness to learn with a strong track record of learning new skills and processes
  • Proficiency with Databases 
  • Proficiency with Microsoft Office Suite tools  
  • Strong writing and organizational skills, with exacting attention to detail ● Ability to be a creative problem solver and big picture thinker  
  • Highly organized, independent, and responsive to the evolving needs of the organization ● Strong interpersonal skills and the ability to maintain strict confidentiality boundaries. 
  • Experience with graphic design is desirable 
  • Experience with grant management, marketing, and event planning also a plus 

What to Expect:

  • Screening interviews in early May to mid-May
  • 2nd round interviews with hiring manager in late May
  • *compensated* brief skills-assessment late May/early June
  • Final interview in early/mid-June
  • Anticipated start date is July, subject to change
